Your mission:

Ensure smooth branch operations, monitor compliance with facilities policies, support sustainability goals, manage IT and administrative processes, and coordinate daily tasks.

What you will do:

  • Take responsibility for all administrative tasks related to office management and ensure efficient execution.
  • Manage local Health & Safety activities with the People & Culture team and ensure timely completion of actions.
  • Oversee office security, implement and review security procedures regularly, manage risks, and maintain a safe working environment.
  • Ensure cleaning standards are met, manage staff expectations, and communicate responsibilities clearly to office occupants.
  • Implement environmentally responsible waste disposal practices, including hazardous and electronic waste, in compliance with EME (Epson Middle East) Facilities guidelines.
  • Coordinate with EME Facilities for office furniture renewals, repairs, and related actions.
  • Manage office maintenance per lease terms, track scheduled maintenance using FM Maintenance Schedule, and coordinate with building management during emergencies.
  • Conduct procurement ethically and transparently, maintain documentation, ensure budget approval, and obtain necessary authorizations via EME Facilities.
  • Ensure all facility-related payments are processed per EME Accounts Payable procedures; submit invoices promptly to EME Facilities and Accounts Payable.
  • Apply sustainability policies (eliminate single-use plastics, monitor environmental practices, and ensure use of sustainable products and services).
  • Maintain a professional reception area and manage visitor protocols, including communication, guidance, and guest experience. Provide service & support during on-site internal meetings and client visits.
  • Provide on-site IT support (device restarts, laptop refreshes, issuing new laptops and mobile phones, network checks).
  • Conduct periodic physical IT asset counts, manage spare stock, and maintain an up-to-date asset register.
  • Track service agreements, renewal dates, and payment schedules.
  • Manage communication between Epson administration departments and third-party service providers.
  • General administration and record keeping/filing.
  • Process invoices and submit to H/O for payment.
  • Resolve invoice and accounts queries.
  • Process purchase orders.
  • General Office maintenance & Ordering of Stationery.
  • Demo Stock Control.
  • Office & Freight Expense control & reporting.
  • Handle payments of office and staff expenses, collect official documents and invoices, and report to accounting and related 3rd parties.
  • Manage business-related materials and documents.
  • Familiarity with facilities management, procurement, and sustainability processes.
